  "text": "<p>Rapid Report is designed for linked items where several inspections can be created quickly from existing report data.</p><p>In normal repeat use, Rapid Report copies the previous report in full and creates a new report from it. The report wording, result, observations, recommendations, images/settings carried by the process, and stored report data are copied forward. The main details changed during the process are the examination date and the engineer/surveyor, where selected.</p><h6>Starting from the list page</h6><ul><li>Open the linked items list for the item chain.</li><li>Select the items to process using the checkboxes.</li><li>Locked items cannot be selected. These are items whose last report type is not allowed for Rapid Report.</li><li>When two or more available items are selected, the Rapid Report button becomes available.</li></ul><h6>Allowed report types</h6><p>Rapid Report is limited to approved report types. The main linked item table uses the Rapid Report allow-list, including any tenant-specific report types added through the rapid allow configuration. The initial report type dropdown is narrower: it shows enabled client form types plus tenant rapid allow types that exist in the tenant form type list.</p><h6>Initial reports</h6><p>Initial reports are used where selected items do not have a previous report to copy. In this case, choose the initial report type in the Rapid Reporting modal. That selected type is applied to the never-reported items in the selection.</p><h6>Repeat reports</h6><p>Repeat reports are used where an item already has a suitable previous report. Rapid Report clones that last suitable report and updates the date and engineer/surveyor options used for this run.</p><h6>Mixed selections</h6><p>A single Rapid Report run may include both initial and repeat items. Repeat items are cloned from their previous reports. Initial items use the report type selected in the initial report dropdown. If any item needs an initial report type, the process will not continue until one is selected.</p><h6>PNA handling</h6><p>If an item's last report was PNA, the modal will show PNA handling options. Where an older non-PNA report exists, choose whether to create another PNA report or clone the last non-PNA report. Where the only previous report is PNA, choose whether to create another PNA or use the selected initial report type. Enter a PNA reason if required.</p><h6>Clone text and comments</h6><p>The Clone Text section can overwrite cloned report text across the selected reports. If text is entered, you must confirm the overwrite and choose whether it is an Observation or a Recommendation.</p><ul><li><strong>Observation</strong> applies the text as an observation and sets the new report result to OBS.</li><li><strong>Recommendation</strong> applies the text as a recommendation and keeps the original copied report result.</li></ul><p>If no clone text is entered, the previous report text is copied as normal.</p><h6>Run settings</h6><ul><li>Confirm the examination date.</li><li>Select or confirm the engineer/surveyor.</li><li>Choose whether to include images.</li><li>Choose whether to include tags.</li><li>Tick the inspection confirmation before running the process.</li></ul><p>Do not close the window while Rapid Report is creating reports and generating PDFs.</p><h6>Important caveat</h6><p>Rapid Report should only be used when the previous report content remains suitable for the new inspection. If an item needs substantially different wording, different defects, or a report type outside the approved Rapid Report list, use the normal report route instead.</p>"
